Event Applications

Events Application Process

Land ownership and management influence and determine the type of event approval issued. Contact the events team if you require advice.

Events planned on private property may require a Development Application under the Environment Planning and Assessment Act 1979. Contact our Development Services Team for more information.

Please note that holding weddings and some private function events, that are not open to the general public) on Council owned/managed land is subject to a separate process and policy through the Council Facilities Team.

To host an event for more than 200 people at one of Shoalhaven City Councils Community Facilities, please follow the below steps:

  1. Review the Events Policy
  2. Reach out to the events team to discuss your event and suitable locations – contact the team via email events@shoalhaven.nsw.gov.au or phone 1300 293 111.
  3. Complete the Event Application Form and submit to the events team along with relevant supporting documentation at least 90 days before your event. Late fees will apply for applications received within 90 days.
  4. Supporting documents required will include:
    • Public Liability Certificate of Currency (minimum $20million)
    • Risk Assessment (including Emergency Management Plan where applicable)
    • Event Management Plan
    • Site Plan
    • Community Notification
    • Traffic Management Plan (if applicable) – required minimum 90 days out
    • Parking Management Plan and or Transport Management Plan (if applicable)
    • Other applicable permits required for your event: including Fireworks/Pyrotechnics, Temporary Food Stalls/Mobile Food Vendors, Amusement Rides etc.
    • Notify local Police
    • List your event for free (conditions apply) on the Shoalhaven Tourism Events Calendar
  5. The events team will then be back in touch to confirm the event permit or temporary licence details.

Contact the events team via events@shoalhaven.nsw.gov.au to request templates and sample documents including sample event management plans, event marketing plans, community notification, etc., to assist you in completing your supporting documents.
